Summary:
Under the direction of the program associate for scholarship operations, supports all operational aspects of the Cooke Foundation scholarship and alumni programs. Specific responsibilities include: generating student communications, mailings and reports, responding to scholar inquiries, maintaining scholar databases, planning events and meetings, booking travel and providing other administrative support.

Description:

PRINCIPAL RESPONSIBILITIES

  1. Implements and monitors all major tasks associated with scholarship program administration. Tasks include, but are not limited to, processing transcripts/grade reports, notifying new scholars, administering scholar reports and surveys, processing graduation certification, monitoring receipt of all required materials and coordinating activities for scholars, families, and alumni.
  2. Serves as initial contact with the foundation’s scholarship recipients and families, including monitoringprogram specific email boxes and responding to telephone calls.
  3. Accurately maintains the program databases, completes data entry and compiles data into spreadsheets and reports.  Assists with the implementation of the new Cooke Foundation database including testing and training.
  4. Maintains scholar files/folders and disseminates information to program staff, as requested or required for specific tasks.
  5. Implements all tasks associated the the College Scholar Family Campus Visit program, including identifying and notifying scholars and parents, tracking expenditures, coordinating participant travel, providing administrative and logistical support and regularly performing budget reconciliation.
  6. Responsible for building, editing, and launching surveys to scholars, ensuring that all surveys and supplemental documents are returned promptly, and entering relevant and revised data into the appropriate program database.
  7. Implementstravel booking processes and logistics for major scholar events (e.g., Welcome Weekend/First Summer, Senior Summit, Scholars Weekend). Provides administrative support as needed leading up to events, including working with insurance companies to facilitate short-term summer travel/accident coverage for scholars.
  8. Prepares application materials for the Summer Internship Stipend Program and assists with notifying new recipients and monitoring receipt of required materials.
  9. Assists with planning and organizing the selection process for the Graduate Scholarship program including preparing application and selection materials, coordinating with reviewers and preparing for selection meeting.
  10. Provides other administrative support to the scholarship program as requested.
  11. Other tasks as assigned.

Job Qualifications

  1. Minimum of a bachelor’s degree.
  2. Two years of professional experience preferred.
  3. Excellent written and oral communication skills.
  4. Strong interpersonal skills.
  5. Excellent knowledgeof Microsoft Office applications.
  6. A strong detail orientation, organizational skills, and ability to work independently and simultaneously on multiple projects within close, overlapping and/or conflicting deadlines.
  7. Experience in scholarship administration is a plus.
