Program Coordinator, Scholarship Operations

The Jack Kent Cooke Foundation follows a hybrid work schedule, and this position will be required to work in our Lansdowne, VA office one to two days a week.

Reporting to the Manager, Scholarship Selection, the Program Coordinator, Scholarship Operations provides administrative support for operational and outreach projects for the Young Scholars Program and Higher Education programs, and for the selection processes for each new cohort of Cooke Scholars. Regular tasks include responding to Scholar and applicant inquiries, tracking application records, updating program materials and website content, assisting with Scholar notification, arranging travel for in-person Scholar events, and processing invoices and payments.

PRINCIPAL RESPONSIBILITIES

  • Serves as initial contact for the Foundation’s scholarship applicants, recipients, and families, by monitoring email inboxes and responding to telephone calls. Also assists in responding to applicant questions during live online chat sessions.
  • Implements and monitors all major tasks associated with scholarship program administration, including processing transcripts and annual reports, notifying new Scholars, sending advocacy and college president letters – including verifying and updating school contacts, monitoring receipt of all required materials, and coordinating travel logistics for Scholars, families, and Alumni.
  • Supports internal application processes for the Family Campus Visit program, Conference and Travel Stipend, Internship Stipend, Graduate Scholarship, and Young Scholar Financial Renewal. Tasks include assisting with program communications, reviewer and selection meeting preparations, helping to notify recipients, and monitoring receipt of required materials. Also, assists with Scholar graduation tasks each year
  • Assists with updating and proofreading outreach and selection emails, newsletters, press releases, website content, and other promotional materials.
  • Monitors online application records for completion, scans transcripts and application-related mail to add to applications, and helps to screen applicant eligibility prior to the beginning of the review process.
  • Provides administrative support for the scholarship review process, to include confirming reader participation, responding to reader questions, and following up with readers to ensure timely completion of application reading and honoraria payment.
  • Accurately completes data entry. Produces spreadsheets and creates reports of outreach and application data, survey responses, and from other sources as needed.
  • Facilitates timely payment of operations-, selection-, and outreach-related invoices as well as maintains records of all processed invoices for reporting and forecasting needs.
  • Other tasks as assigned.

 

JOB QUALIFICATIONS & REQUIREMENTS

  • Minimum of an associate’s degree, with a bachelor’s degree preferred.
  • Minimum of two years of relevant work experience.
  • A demonstrated commitment to supporting and enhancing diversity, equity, and inclusion.
  • Excellent writing, presentation, and communication skills.
  • Excellent knowledge of Microsoft Office applications, especially Microsoft Excel. Technolutions Slate and/or Asana experience a plus.
  • High comfort-level working with/learning online technology tools, including databases/CRMs.
  • Ability to work effectively with individuals and diverse groups toward accomplishment of shared goals.
  • Strong interpersonal skills. Flexible team player, detail oriented, and strong organizational skills.
  • The Foundation follows a 35-hour work week schedule for full-time positions. This position may require occasional additional hours during busy times and/or to meet deadlines, and any additional hours will be paid in accordance with Foundation policy and federal and state law.
  • This position will require occasional evening and weekend hours for scholarship events and/or programs.
